All key business workflows in document management, such as warehousing, purchase order management, and supply transportation, have been automated during the project.

Aztikintiyol is a private company that operates within AZ group, and has more than 1,000 employees all over Azerbaijan. The company operates in the asphalt and crushed stone industry. The company has 10 territorially distributed branches.

To create a corporate EDMS, the WSS Docs system was selected, which allowed to automate all the document management basic processes:

• incoming documents arrangement (registration and consideration of documents, their transfer for execution or to document archives);
• outgoing documents arrangement (document creation, coordination and approval, arrangements for sending and transferring of executed documents to archives);
• assignments management (objective setting, a follow-up monitoring of the assignment execution, reception and analysis of the results);
• report creation after completing assignments.

The WSS Docs system has allowed to display results and terms of contracts approval in the reconciliation protocols. The company’s management has obtained the opportunity to monitor and control the reconciliation using convenient reports. The archive for all financial documents and contracts has been created. It allowed not only to structure all the existing documents, but also to ensure a secure access to them. This is a convenient tool for searching documents or for archiving void ones in EDMS.

Currently, all the employees, directly related to the document management, actively work in EDMS. The solution has allowed to significantly reduce the financial and temporal expenses on processing and approving documents within the company, to organize the large amount of incoming documents, and to significantly increase the company’s transparency and manageability. The project has fulfilled all the key requirements of the client.
